About

InEvent Cases

The 2024 LifeWave Conference , held from October 16-19 in Dallas, Texas, brought together over 5,500 attendees from around the world. Branded as “Ignite Your Potential,” this conference offered an immersive experience for LifeWave’s Brand Partners, featuring advanced training sessions, success stories, and an exclusive look at LifeWave’s latest product innovations. The event was designed to connect participants from diverse backgrounds, offering them opportunities to improve their business strategies and deepen their commitment to wellness. With top leaders and speakers such as Founder & CEO David Schmidt and other notable industry experts, LifeWave sought to deliver a streamlined experience for its large international audience.

Challenges

Managing such a high-profile, multi-day event required robust and efficient logistics, especially for onsite registration and badge printing , to ensure smooth access and a welcoming first impression for all attendees. LifeWave faced a range of challenges in the past that necessitated a reliable, flexible event management platform—and they found the right solution in InEvent.

Prior to adopting InEvent, LifeWave encountered several key challenges in their event management process:

Onsite Registration:

The annual LifeWave conference previously struggled with a time-consuming and disorganized badge printing process. With badges preprinted and alphabetized, the system often led to long wait times, confusion, and difficulties in accommodating language barriers among attendees from various regions.

Ticket Transfers and Attendee Management:

LifeWave’s attendees frequently purchase bulk tickets and transfer them to team members. However, their previous vendor lacked efficient solutions for bulk transfers, creating additional manual work and errors in attendee records.

API Integration for Real-Time Data:

LifeWave also needed a system to integrate with third-party platforms for real-time data synchronization , such as attendee rank and location data. They had yet to find a vendor capable of fully addressing this requirement, which was essential for their event’s dynamic needs.

Solutions

To meet LifeWave’s unique challenges, InEvent implemented a solution focusing on onsite registration improvements, customized event equipment bundles, and dedicated technical support . Here’s how these solutions empowered LifeWave to enhance their event experience:

Elite Bundles

LifeWave opted for 11 customized Elite Bundles that included essential tools such as 2 iPads, 2 Zebra ZD620 Printers, and branded lanyards in each bundle. These resources streamlined badge printing, enabling efficient on-the-spot badge generation and reducing reliance on pre-printed badges.

Custom Layout

With iPads and Zebra printers strategically deployed, LifeWave created a faster, more organized registration process that could manage high volumes efficiently. The addition of 5G hotspots in the bundles ensured reliable connectivity, allowing devices to operate smoothly without delays.

"Our onsite registration this year was head and shoulders above anything LifeWave has ever done before. The quick, efficient badge printing made such a difference—attendees & staff could pick up their badges and lanyards almost immediately, which saved us a lot of time and stress. - Joshua Dunn"

Onsite Support

InEvent provided two dedicated technicians for four days, crucial in handling busy registration periods, managing QR and manual check-ins, and assisting attendees in real time. They were particularly praised for their proactive assistance, noting that they even managed the distribution of the correct lanyards during peak times, ensuring a professional and seamless experience.

"The process of searching manually and using QR codes was incredibly fast, and having a hands-on technician there during busy times kept everything running smoothly. It was the easiest registration experience we’ve had. - Julianne Frazier"

This smooth entry set a warm, positive tone for everyone immediately. Attendees noticed the difference, with many sharing how much faster and friendlier the process felt compared to past years.

Effortless Badge Printing:

LifeWave’s registration materials—like the sleek double-sided badges and branded lanyards—gave the event a polished, professional look, making it easy for attendees to recognize one another and connect. No more pre-printed badges or last-minute mix-ups—just a smooth, efficient experience that freed up LifeWave’s team to focus on creating memorable moments.
